Importing and exporting clients in VHD

You can also import client data in VHD. Suppose you have clients at different locations. You are using VHD to cater to their requirements at all these various locations. Another scenario where you are already using any other helpdesk tool and wish to switch to VHD. Under such circumstances, you can import the data into your VHD system. For this purpose, all you will need is a CSV format file of all client details.

Under the client module in VHD, you can have a detailed description of client details. There is also a provision of creating organisations and differentiating clients based on which organisation they fall under. When you click on import option from the more list icon

in the top right corner of the screen, you are provided with the option to import clients or entire organisations in CSV file format.

Under import types you have the option to select either clients or organisation details to import. On selecting the domain name and specifying in which organisation you wish to import new client details to, you can upload a CSV file of the same. In a CSV file you will find the data systematically displayed in table format. You can identify the data in each column based on the column headings or otherwise called the attribute of data.



Column mapping is an essential step after importing a CSV file. Here, you need to match the database fields to the available CSV fields. For eg. if your CSV file has a column called ‘name of employees’ it can be mapped with ‘name’ in database field and so on. You may delete the database fields that cannot be mapped with relevant CSV fields from the imported file. You can also edit the database fields from admin settings to match your requirement.

When all the CSV fields have been successfully mapped with relevant database fields you can import the data. When you conveniently import this user data, through the client module in the system you will be able to access these clients and carry out various operations on them.

VHD also enables you to export client data. The client and organisation data can be exported in CSV, HTML and XLSX file format. You can add a report title of your choice which will automatically be the name of your downloaded file. If you wish to send an email to your manager or supervisor, you can add his email address to which a copy of your downloaded report will be sent.

Your staff members working in VHD can likewise request for creating various reports. These reports can be visualised under the reports module in the system. You can access it through the launcher icon in the inbox.

There might be a number of staff members who have requested reports of many sorts. Overview report, statistical report, graphical report, custom report or scheduled report are the various reports your staff members can avail from the system. Under the reports module you will be able to access all these reports function and download the reports via a link. Here under download queue tab, you will be able to understand the status of all reports at a glance. Reports are displayed as count of total reports, reports requested by you and your completed reports. When you login through staff credentials, under the report module you will be able to see the count of the total number of reports requested by all the staff members, the staff members own reports, lastly reports that are completed and can be downloaded. Using admin access you can see the total number of reports requested along with their download links.
